I don't even know where to start.
Two things.
That's the whole system.
One place for what needs to happen. One place for when it happens. That's enough to stop carrying it all in your head.
Get it out of your head
Know what's next in seconds
Split it with your partner
Tool One
The Task Tracker
Anything that needs to get done — but not at a specific time.
- Schedule dentist
- Order gifts
- Research camps
- Return package
- School paperwork
A list tells you what's left.
This tells you what to do.
A reminders list holds names. A tracker holds the four things that let you — or AI — actually make a decision:
Status
See what's genuinely stuck, not just unchecked
Owner
Split the load without another conversation
Time estimate
Match a task to the 20 minutes you actually have
Due date
Sort by what's urgent, not what's loudest
If that feels like one more thing to learn today — start smaller. Open Apple Reminders, make a list called “Family Tasks,” tap Share, add your husband. Two minutes and it's out of your head and onto something you both can see. You won't get owners or time estimates, so the AI prompts below won't have much to work with yet. But it beats carrying it, and you can move it into Notion whenever you're ready.
Tool Two
The Family Calendar
The thing that decides which one an event goes on isn't whose event it is. It's whether anyone else has to work around it.
- Appointments
- School events
- Travel
- Practices
- Reservations

The family calendar
Shared with your husband · anything that changes someone else's day
- Your 7:30am workout — someone else has the morning
- Flight times with travel
- Kids' appointments and activities
- Travel
- Recurring household maintenance
- Plans you've committed to together
Your calendar
Yours alone · nothing here changes anyone else's day
- A 1pm dentist appointment
- Work calls and meetings
- Errands you'll fit in yourself
This is why your own workout belongs on the shared calendar and your own dentist appointment doesn't. One of them means your husband is doing the morning. The other one nobody needs to know about.
We take the family calendar very seriously
A little ridiculous maybe, but completely effective — one look tells you whether your husband is free or not.
Where They Meet
One event, two entries.
Calendar
Dentist — Friday, 10:00
Tracker
Complete dentist paperwork
Optional: AI layer
You don't need AI. It just makes it faster.
Share your tracker and calendar, then ask:
“Plan my week around these appointments and tasks.”
“I have 30 minutes before pickup — what should I do?”
“What am I missing before our trip Thursday?”
“Help me split these with my partner.”
